Use the five-name check: ask for the legal manufacturer, production address, certificate holder, trademark owner, exporter of record, and payment beneficiary. Three major regulatory shifts are converging. EU F-Gas: monobloc AC < 12 kW must use refrigerants with GWP < 150 from 2027. R32 (GWP 675) is being phased out for residential units; R290 (propane, GWP 3) and R454B (GWP 466) are the leading substitutes. US EPA SNAP: R410A restricted in new residential < 5 kW from 2025; R32 and R454B are taking share. California CARB: tighter GWP limits than federal EPA. For standard residential split AC (off-the-shelf SKU, no tooling): 30–45 days production + 7–14 days inland logistics = 5–8 weeks to FOB. For OEM/ODM residential units (your label, standard platform): 45–60 days production. For VRF systems: 60–90 days. For commercial chillers (engineered-to-order): 90–150 days including FAT, pressure testing, and NDT. Add sea transit: 18–25 days to the US West Coast, 28–35 days to Europe, 25–32 days to the Middle East. Plan 10–14 weeks total door-to-door for typical residential orders; longer for engineered chillers.
Pre-tariff, Chinese HVAC equipment is typically 30–50% cheaper than US/EU domestic equivalents on like-for-like specifications. Post-tariff, the picture varies: US Section 301 + Section 232 combined duties of ~50–60% on finished AC effectively neutralise the cost advantage for residential units — which is why Midea, Haier, and others have shifted final assembly to Thailand, Vietnam, Mexico, and Indonesia. EU duties are only 2.2–2.7% MFN, so the 30–45% cost advantage is largely preserved — one reason Chinese AC exports to Europe surged +40.6% in the 2025 cooling year.

Two main options. (1) Dry-ship (recommended for sea freight): OEM ships the unit with a nitrogen holding charge only; refrigerant is topped up at destination by a certified technician. This avoids IATA/IMDG Class 2.1 dangerous-goods surcharges of $400–$1,200 per container and simplifies port handling. (2) Pre-charged: the unit ships with R32 or R410A; requires UN 1077 (propylene) or UN 1978 (R32) DG documentation, segregated stowage, and DG-certified carriers. Some airlines refuse refrigerant-bearing units entirely. For LCL consolidation, dry-ship is strongly preferred. For LCL air freight of small units, pre-charged is often the only viable option — budget 4–6 weeks lead time for DG documentation review.
